In our discord server we also have strict outlined rules and an intervention system. Our general rules apply for both digital and during our offline activities such as our camps. Please read them below as well:

General rules (applied always: online & offline)

Core principles:

We’re an organisation for ‘outcasts’ by ‘outcasts’, therefore we hold everyone to the highest expectations when it comes to treating others with dignity, empathy and respect. We celebrate differences in gender, identity, neurotype, ability, background and orientation rather than frown upon it. Our community is a mentally and physically safe place, hence safety and well-being are our top priority.

Zero tolerance:

We have a strict no-tolerance policy when it comes to harassment, bullying, discrimination, hate speech, threats, sexual misconduct and repeatedly crossing previously stated boundaries. Doing these actions still despite our rules, will result in immediate and severe consequences.

Consent mandatory:

Explicit and enthusiastic consent is required for all physical contact, sharing of personal information and initiating (potentially sensitive) conversations. Under this also falls any sort of boundaries, including around ‘dm’ing’ and ‘friend-requests’ (check people’s roles). ‘No’, ‘maybe’ or silence is NOT consent under any circumstance.

Privacy & confidentiality

You must not share anyone’s personal information (real name, address, diagnosis, etc; …), private discussions or any camp organisational details anywhere in the camp server, dm’s or external platforms/people, without their explicit and prior consent. Exceptions are for direct reports to staff or reports from staff in the belonging staff-channels.

No gossip:

Speaking negatively about other community members (campers, staff or external people) to third parties AND other community members is prohibited (both anywhere in the discord server, dm’s and external platforms/people). If you notice something going on, or you feel uncomfortable with a person/situation, you open up a ticket to make a report.

Weaponizing triggers:

Deliberately using a known trigger to cause distress, panic or harm to another person is considered a severe and malicious act. Not realising something comes over a specific way is a human thing, however you will be requested by a mod to delete, rephrase or add a tonetag to your message. If mods catch you making the same mistake over and over again, triggering and causing distress in others, we will take action according to our intervention system.

Accountability:

Everyone, including staff, organisers, veterans and external helpers, is held to the same standards and rules. Acknowledging mistakes, learning and making amends is expected and required.

Reporting duty:

If you witness or experience something that violates our rules or makes you uncomfortable, you are obligated to report it by opening a ticket or sending a dm to Oswald (camp organisers account). You will never be punished for making a report in good faith, however always keep it respectful and to the topic.

Discord-specific rules

Channel decorum & communication

Topic adherence:

Keep conversations relevant to the channel’s designated purpose. Off-topic discussions may be moved by staff or you may be asked to take them elsewhere. Ignoring a nudge from a mod towards the correct channel might result in a temporary mute, bonk or warning.

Tone indicators (required in ambiguous contexts, always safe to use):

Tone indicators are required in all contexts where misunderstandings of tone can happen (especially around jokes, sarcasm and constructive advise). It is always safe to use them, they are a tool for clarity and accommodating those that struggle with reading tone. You find an expansive (yet not exhaustive) list of examples of tonetags in #tonetags .

No @ abuse:

Do not misuse mentions (@ everyone, @ here or individual users). Spamming mentions causes unnecessary alarm and disruption. For specific category pings (events, games, …) we will require you to choose the fitting category ping roles.

 

Privacy and external conduct

Screenshots & recording:

Recording conversations or taking screenshots of private channels, dm’s or voice chats without the express consent of everyone involved is strictly forbidden. The exception goes for reporting and reports, where we ask to crop out all unnecessary information/chat messages.

Unauthorized external contact

Nobody, not server members, nor Students or Guardians of the Gods , are allowed to contact any sponsors, partners, guest teachers or any external individuals involved with our events, organising, promoting, … without first obtaining explicit permission from Children or Messengers of the Gods. The same goes for matters and difficulties regarding those external individuals or organisations; Head Staff will always handle these kind of matters and we do not want a mouth to mouth chain where a lot of information gets lost or misinformation spread.

 

Discord-specific prohibited content

NFSW material:

Absolutely no ||pornographic, graphically violent, gore, unhealed wounds,|| or otherwise Not Safe For Work content is permitted

Malicious links:

Posting links to phishing sites, malware, scams or other harmful sites is forbidden and will result in an immediate ban. If we suspect your account to be hacked, we will place you under mute and try to contact you through different means to verify if the link/message was out of your own intent.

Mini-modding:

Do not attempt to enforce the rules on others. Your role is to report violations to staff, not to correct others publicly, as this escalates situations. All staff members and mods receive recurring training and guides to deal with situations.

Spam & flooding:

Do not disrupt chats with rapid-fire messages, copy-pastes, excessive emojis or single character spams.

Self-promotion:

Do not promote your own projects, servers, businesses or social media without prior agreement from the staff. You can request permission or discuss partnering by opening a ticket.

(Discord) intervention system

Nudge:

a public or private message from a moderator asking to cool down a discussion or move it to a more appropriate channel. Ignoring a nudge may lead to a mute.

Temporary mute in server:

a short term muting (e.g.: 1-4 hours) of messaging permissions to de-escalate a situation or after a nudge is ignored. You can request more information about the nature of the mute by opening a ticket with the staff.

Bonk:

an informal, private DM from a moderator addressing a minor misstep. It is a friendly but clear reminder of the rules. This is logged but is not a formal strike.

1st warning:

a formal, private DM stating a rule has been broken. The violation is explained and logged as a Strike 1. The user must acknowledge understanding.

2nd warning or big offence:

a final, formal warning delivered via DM after a repeat violation or a more serious single offence. Logged as Strike 2 in the system. Might include certain privileges in the server to be revoked.

3rd warning or major violation → immediate removal:

Any further violation after Strike 2, or a single severe offence results in immediate removal from the server. A single major offence warranting a Strike 3 is an automatic ban. Repeated behavior leading up to Strike 3 results in a kick with a cool-down period of 1 month. If you wish to join after again, you must provide a written behavior analysis for staff to approve before being allowed back in the server.

People who were written in the camp and who receive a ban do not have the right to request a refund AND are no longer welcome to next camp editions or any other further events (digital and offline) organised by our organisation.

Universal Code of Conduct: defined violations & examples

The following behaviors are strictly forbidden across all platforms and contexts linked to Mythica LARP (and previously Camp Half-Blood BE/NL).

Policies and procedures


a) The reporting & resolution process

Report:

Open a ticket or send a private message to <@1391418578988826675> . Provide who, what, where, when and how it impacted you.

Initial review

Staff acknowledges the ticket and performs a preliminary assessment of the report’s severity. Additional questions might be asked by staff.

Investigation:

Staff gather information separately from all involved parties and any witnesses.

Deliberation

The staff team discusses the findings, the severity of the violation and determines an appropriate consequence based on the Code of Conduct.

Resolution

All parties are informed of the outcome. The reporter is told ‘action has been taken’, but specifics may be confidential.

Appeal:

Decisions can be appealed to Children of Messengers of the Gods within 48 hours with new evidence or reasoning.

b) Staff accountability clause

Staff members are bound by this Code without exception. Reports against staff are investigated by senior organisers or an external mediator. Violating staff face the same consequences as members, including removal from their position.

c) Refund & ban policy

No refund for removal:

Individuals removed for violations forfeit all fees. This can not be appealed as all violations and warnings are logged in the staff-logbook. There will always be a valid reason for removal, as this is a very last resort.

Refund for emergencies:

Pro-rated refunds are considered for medically documented illness (with doctor’s note) or family emergencies.

Permanent ban:

Removal for severe violations results in a permanent ban from all future events and our digital platforms. You are not to be searching contact with camp members after this date on your own initiative; reportedly breaking this boundary may result in a police claim being made.
